Recruitment and candidate data (platform users)

When employers and recruiters use the Clavo AI platform, the following types of data may be uploaded, generated, or processed:

  • CVs and resumes
  • Candidate profiles including work history, education, and skills
  • Interview responses and recordings
  • Recruiter notes and annotations
  • AI-generated reports and candidate summaries
  • Candidate scores and match scores
  • Hiring workflow data and pipeline stages
  • Nationalization and compliance-related inputs where applicable

Usage and analytics data

We may collect usage and analytics data such as pages visited, time spent, referral sources, browser type, device information, approximate location, and interaction events. This data is used to improve our platform and user experience.

2. Employer Responsibilities

Employers and recruiters who upload or process candidate data through Clavo AI are responsible for ensuring they have the required rights, permissions, notices, or lawful basis to provide that data to Clavo AI. This includes obtaining any necessary consent from candidates, complying with applicable data protection laws in their jurisdiction, and ensuring that candidate data shared with Clavo AI is used only for lawful recruitment purposes.

Clavo AI acts as a data processor on behalf of employer accounts in relation to candidate data. Employers are the data controllers for the candidate information they submit and are responsible for responding to candidate data rights requests relating to their recruitment activities.

3. AI-Assisted Processing

Clavo AI uses artificial intelligence to support hiring workflows. AI-assisted features on the platform include:

  • CV screening and candidate shortlisting
  • Candidate ranking and match scoring
  • AI-assisted interviews and response analysis
  • Automated note generation
  • Candidate and hiring report generation
  • Hiring insights and recommendations
  • Nationalization and compliance insights

AI outputs are intended to support human decision-making and should not be the sole basis for final hiring decisions. Recruiters and hiring managers retain full responsibility for all decisions made using the platform.

4. How We Use Your Information

We use the information we collect for the following purposes:

  • To schedule and deliver personalised product demos
  • To onboard early access customers and send relevant updates
  • To operate, maintain, and improve the Clavo AI platform
  • To process and analyse recruitment and candidate data on behalf of employer accounts
  • To communicate about product features, releases, and offers you have opted into
  • To analyse usage patterns and continuously improve Clavo AI
  • To respond to support requests and enquiries
  • To comply with applicable legal obligations

We will never use your information to send unsolicited marketing communications unrelated to Clavo AI. You may opt out of communications at any time.

Clavo AI does not sell, rent, or trade your personal data to third parties — ever.

Service providers

If you request deletion of your data, we will action this within 30 days, except where retention is required for legal, regulatory, or legitimate business reasons.

9. Children and Minors

Clavo AI is a professional recruitment platform intended for use by employers, HR teams, and adult job candidates. The platform is not intended for children or individuals below legal working age, and we do not knowingly collect personal data from minors.

If you believe we have inadvertently received data relating to a minor, please contact us at privacy@clavo-ai.com and we will take prompt steps to delete it.

10. Your Rights
